ARMA Metro Maryland Chapter would like to thank you for your past support for many years as a sponsor of our chapter’s Annual Spring Seminar. Your partnership and participation in this premier event of our program year has enabled us to offer outstanding educational programming for ARMA members and the broader community of records management and information governance professionals throughout the metropolitan Washington, DC area. Our seminars feature speakers who are experts and industry leaders from government, legal, and business communities, and they attract participants from not only suburban Maryland and around the beltway, but also from Baltimore, southern Pennsylvania and the mid-Atlantic region.
We invite you to once again join us as a sponsor of our chapter. This year we are excited to offer expanded sponsorship levels beyond the single-event seminar sponsorship, to give your company multiple opportunities to participate and promote your services throughout our full year of monthly chapter activities.
Our new Annual Sponsorships are available at three different levels, uniquely rebranded for our local Maryland Chapter: Sugarloaf (formerly Cobalt), Monocacy (formerly Platinum), and Catoctin (formerly Gold), and offer the following year-round benefits.
Sugarloaf - $1500
Benefits
Monthly chapter meetings:
Includes attendance at monthly chapter dinner meetings free of charge for two attendees per meeting (advance registration required). Representative(s) will be introduced and can briefly introduce his/her company’s capabilities, distribute company literature (and collect business cards).
Annual Spring Seminar:
Includes table space in the seminar vendor area to display literature and promotional items, an opportunity to meet with attendees throughout the seminar, and a 5-minute time slot on the program to provide an introduction of your company. Includes two free seminar registrations for vendor personnel. Company’s logo will be included on all seminar promotional materials and communications, which are distributed widely via email and social media, and will be displayed prominently at the event on the seminar introductory slide show and program agenda.
Full-year benefits:
Company’s logo and link will appear on the Metro Maryland chapter website homepage (https://arma-metromd.org) and in 6 chapter newsletters.
Monocacy - $1000
Benefits
Monthly chapter meetings:
Includes attendance at monthly chapter dinner meetings free of charge for one attendee per meeting (advance registration required). Representative will be introduced and can briefly introduce his/her company’s capabilities, distribute company literature (and collect business cards).
Annual Spring Seminar:
Includes table space in the seminar vendor area to display literature and promotional items, an opportunity to meet with attendees throughout the seminar, and time-permitting, a time slot on the program to provide an introduction of your company. Includes one free seminar registration for vendor personnel. Company’s logo will be included on all seminar promotional materials and communications, which are distributed widely via email and social media, and will be displayed prominently at the event on the seminar introductory slide show and program agenda.
Full-year benefits:

Catoctin - $500
Benefits
Monthly chapter meetings:
Vendor representatives will be responsible for registering and paying for monthly chapter dinner meetings, but will be introduced as a sponsor and can briefly introduce his/her company’s capabilities, distribute company literature (and collect business cards).
Annual Spring Seminar:
Includes table space in the seminar vendor area to display literature and promotional items, an opportunity to meet with attendees throughout the seminar. Includes one free seminar registration for vendor representative. Company’s logo will be included on all seminar promotional materials and communications, which are distributed widely via email and social media, and will be displayed prominently at the event on the seminar introductory slide show and program agenda.
Full-year benefits:
Company’s logo and link will appear on the Metro Maryland chapter website homepage and in 6 chapter newsletters.
seminar-only and single monthly event sponsorships
Seneca (Seminar-Only Sponsor) - $250
Annual Spring Seminar: Includes all seminar advertising (web site logo/link, email mention, poster, company logo in seminar handout). Does not include table space or seminar registration for vendor representatives.
Meeting Sponsor - $100
The vendor can speak for 5-10 minutes at a chapter meeting on his/her company’s capabilities, distribute company literature and collect business cards. The sponsor’s name will be mentioned in meeting announcements (in print and on line) and a link to the vendor’s website will be posted on the chapter website. The sponsorship must be arranged and approved in advance through the chapter’s program chair and another member of the chapter executive board. The $100 charge is in addition to the cost of the vendor representatives’ meals.
Dessert Sponsor - Variable
In exchange for subsidizing dessert for all attendees at a chapter meeting, the vendor can speak for 5 minutes on his/her company’s capabilities, distribute company literature and collect business cards. The sponsorship must be arranged and approved in advance through the chapter’s program chair and another member of the chapter executive board.
On-Site Sponsor - All Meeting Costs
The vendor sponsors a monthly chapter meeting in the form of an open house/site visit to their facility and underwrites the cost of food for the attendees. The sponsor’s name will be mentioned in meeting announcements (in print and on line) and a link to the vendor’s website will be posted on the chapter website. The vendor may provide attendees with literature and promotional items during the meeting. The sponsorship must be arranged and approved in advance through the chapter’s program chair and another member of the chapter executive board.
Raffle/Door Prize
The vendor provides a gift item to be raffled off during the chapter meeting. The sponsor’s name will be mentioned in meeting announcements and announced during the meeting itself. Please note: When providing a raffle/door prize, the vendor does not receive speaking time during the meeting unless also purchasing one of the levels of sponsorship noted above. The raffle/door prize must be arranged and approved in advance through the chapter’s program chair another member of the chapter executive board. A raffle may be conducted at any meeting, including those that are being sponsored by another vendor.
SEMINAR SPONSORSHIP
Cobalt Level (Two Only – first come, first serve) - $500
Includes booth space, one attendee, Ten Vendor of the Year points awarded, and advertising (web site logo/link (on the seminar page as well as the home page), email mention, poster at the site of the morning/afternoon break, company logo in seminar handout).
Platinum Level (12 Only) - $250
Includes booth space, one attendee, Five Vendor of the Year points awarded, and all seminar advertising (web site logo/link, email mention, poster, company logo in seminar handout.
Gold Level (Unlimited) - $150
Includes all seminar advertising (web site logo/link, email mention, poster, company logo in seminar handout), and Three Vendor of the Year points awarded.
